Streamline and Control Print Perfection
Jelf Group plc is a leading financial services consultancy, providing expert advice around a range of areas including insurance, employee benefits, healthcare and financial planning. Fast becoming the market-leader in its sector, Jelf has experienced rapid growth and significant success in recent years.
In early 2012, Jelf’s legacy print supplier informed the IT department that it would have to change printer manufacturer. David Jones, Jelf’s IT Director, saw this as the perfect opportunity to test the market; to see what suppliers were out there and to investigate how Jelf’s costly printing operations could be streamlined and controlled.
“We wanted greater visibility of print usage across the business and to find a solution that would meet current and future needs while reducing wastage and expenditure. No easy task for a supplier – but Commercial was able to meet the brief and more.”
Commercial kicked the project off by undertaking a comprehensive usage analysis, using software from supplier Xerox (who would later be selected to supply Jelf with a new fleet of machines). This helped assess how much colour printing was being done across the business.
The intent was to put Jelf onto a three-tier printing system, whereby cost would be determined based on how much colour was used. By undertaking this analysis beforehand, however, Commercial is able to accurately forecast how much printing would go through each tier and provide a clear indication of the likely cost savings compared to the existing two-tier system.
“Thanks to Commercial’s modelling, we could see how much we would save before we even implemented it. This certainly makes things a great deal easier when it comes to presenting the business case for investing in a new system.”
Ready for everything the future holds
The new fleet of Xerox machines that Commercial rolled out at Chipping Sodbury, and shortly after at Jelf’s office in Worcester, are fitted with a market leading software system from Nuance called Equitrac Office. This system – installed onto Jelf’s VMware Virtual platform and hosted on the new datacentre – means that all users across the business must login using a personal swipe-card before printing, scanning or copying a document. Any activity is automatically logged, with reports sent back to the IT team for review.
David explains the added value of Follow-you printing for Jelf: “Security of information is vital to the success of our business. The new system provided by Commercial allows us to track and log printing, attributing jobs to a business unit and even to an individual user – even if that user is on the move on a mobile device. This additional level of security gives us peace of mind that we know what is being printed, where and by whom, at all times.”
