Balcarras School is an outstanding Academy for 11-16 year olds, based in the idyllic setting of Gloucestershire. There are currently 1,337 pupils and approximately 79 members of teaching staff.
Balcarras’s relationship with Commercial IT Services started in 2009 when the company won the tender for a secure remote access project. Since then Commercial has developed a partnership with Balcarras and has designed and implemented technical projects including; server virtualization, backup, core network switching, a campus wide wireless network and more recently a Managed Print Service (MPS).
Taking control of Print spend
The printing environment at the school had become both costly and complex to manage. The decision was taken to commission an audit to really understand the current printing profile including the usage per device and per user and a visit was organised to a nearby school to see the benefits of a Managed Print Service in action.
“The trust between Commercial and Balcarras has been built over time and we have both benefited from a preferred supplier agreement. At the suggestion of Commercial, we visited and saw how well the MPS solution worked for another School; the benefit of gaining full control and visibly of print costs across the entire school was clearly evident.” Jeff Arris, Network Manager.
Sustainable cost reduction
Commercial implemented Papercut print management software to provide visibility and control of all print/copy and scanning as well as enabling mobile printing from Tablets and Mobiles.
“Users print to a virtual print queue and collect their print jobs from any device in the “follow me” pool of devices by entering their pin number. Jobs that are not collected within a specified time are deleted thus reducing paper wastage. It really has changed the way we print at Balcarras,”notes Jeff. The remote monitoring service delivered by Commercial’s Network Operation Centre provides automated meter readings and Toner replenishment. The School now has an inventory of consumables which are simply replenished by the system of automated alerts.
Support and partnership
The advice and support provided by Commercial from their award winning Network Operation Centre (NOC) ensures that the in-house team are managing the School’s assets not the support and servicing of printers.
Service Level Agreement’s (SLA) are also in place for engineer site visits required to carry out fault fix on any device (this can be logged by telephone/email or on the website). This is supported by the NOC for any technical issue relating to either the device or print management software. Quarterly service reviews are carried out with the school and key data on all devices are reviewed.
