As Kuoni continued to grow throughout the early noughties, opening stores from Liverpool to London, the procurement of office supplies could be challenging from both a process and expense perspective. “Using local contacts was becoming less and less cost effective the larger the company became,” explains Karen Wallis, Facilities Executive at Kuoni, who has worked at the company for 12 years. “We were aware we needed to find a supplier who could provide us with greater control over our expenditure as we expanded, because supplies had to be ordered for all our locations nationwide”
An intuitive online system, configured to our requirements
Commercial started working with Kuoni in 2002 and the company has since made a 30% saving in the procurement of supplies and a further 20% saving by using Commercial’s online ordering system, Sprint.
Implementation of Sprint has enabled all stores to order goods instantly and securely. The intuitive system puts orders through automatically, speeding up the process, and is designed to help customers significantly reduce administration time and costs.
“Sprint is configured to our own requirements and saves our regularly ordered items, which means it is quick and easy to purchase supplies we regularly need,” explains Karen. “The restricted authority levels guarantee we work within defined budgets, so we don’t have to worry about overspending.”
A key aspect of Sprint is the Management Reporting functionality. This allows Kuoni to see monthly expenditure, per store if required, large ticket items and to analyse trends. This was important to Kuoni, not least because as an expanding company, overheads were increasing too.
Karen continues: “The detail available within the reports means that any anomaly can be looked into, whereas previously it may have gone unnoticed. Consequently we can alter our spending or deal with any problem promptly, if needed.”
Commercial works hard to build strong relationships with its customers and this can be seen by the dedicated account managers, who are individually assigned to each company they work with. ”The personalised account manager makes a huge difference,” reflects Karen. “If we ever have an issue or problem, it is a big advantage to have one person who looks after our account and knows the company inside out.”
Kuoni has now been working with Commercial Office Supplies for over ten years. “As a company, we are happy with the service Commercial offers,” says Karen. “Since our relationship started, we have gradually increased the items we buy and the number of divisions within the Commercial Group that we work with. These now include Print, Interiors and IT Services. They are always looking at ways to improve our experience with them and we thoroughly enjoy our partnership with them.”
